Prompt guide
ChatGPT prompts for nonprofits and charities
Good nonprofit prompts are not magic wording. They are structured review instructions around approved facts, funder criteria, public sources, data boundaries, and named human ownership. Use these patterns before staff paste charity material into ChatGPT, Copilot, Gemini, or another AI tool.
Before writing prompts
- Classify the source material as public, internal non-sensitive, donor, staff, trustee, beneficiary, safeguarding, health, legal, payroll, or casework data
- Use approved source facts, funder criteria, trustee-approved policy, public documents, or anonymised examples rather than unreviewed personal data
- Decide whether the route is ChatGPT Business, ChatGPT Enterprise, API, Copilot, Gemini, or another approved tool before staff begin
- Name the human owner who will verify facts, tone, data use, and final publication or submission
Grant proposal review prompts
- Ask ChatGPT to compare a draft against funder criteria and list missing evidence rather than inventing programme outcomes
- Prompt pattern: Review this draft against the funder criteria, cite which supplied fact supports each point, flag unsupported claims, and suggest questions for the programme owner
- Include budget notes, eligibility rules, word limits, evidence requirements, and source dates in the prompt context
- Do not ask AI to create beneficiary stories, impact numbers, endorsements, or financial claims unless those facts are supplied and approved
Research and policy summary prompts
- Ask for a short staff summary, decision checklist, and unanswered questions when summarising public reports, trustee papers, consultation documents, or published research
- Prompt pattern: Summarise this public document for a charity operations team, separate direct findings from interpretation, and list points that need source checking before action
- Use internal policy drafts to generate checklists only after sensitive details and personal data are removed
- Ask the model to preserve caveats, dates, definitions, and uncertainty rather than turning research into confident advice
Campaign and donor communication prompts
- Ask for first-draft structures, headline options, accessibility improvements, and claim checks rather than final fundraising copy
- Prompt pattern: Rewrite this approved campaign brief for three audiences, keep every factual claim tied to a supplied source note, and mark any sentence that needs programme review
- For donor reports, ask AI to organise approved outcomes and explain gaps; do not invent quotes, case studies, statistics, or photos
- For social media or email variants, include consent, safeguarding tone, audience, call to action, and claims that must not be made
Output review workflow
- Compare the output against source facts before publication, submission, board circulation, or donor use
- Keep a record of the source material, prompt purpose, reviewer, and final decision for material grant, fundraising, policy, or beneficiary-facing work
- Run the AI data-risk checker when the workflow touches personal data or sensitive service context
- Separate API procurement from ChatGPT seat decisions, and escalate BAA needs, high-risk data, or automated decisions to Enterprise, legal, data-protection, safeguarding, or professional review as appropriate

Common questions
FAQ
What is a safe ChatGPT prompt for a nonprofit grant proposal?
A safer grant prompt asks ChatGPT to review a supplied draft against funder criteria, identify missing evidence, preserve source notes, and avoid inventing outcomes, budgets, endorsements, or beneficiary stories.
FAQ
Can a charity paste donor or beneficiary data into ChatGPT prompts?
Not by default. Donor, beneficiary, safeguarding, health, legal, payroll, and casework data need explicit approved-tool, data-protection, retention, access, and review rules before use.
FAQ
Should prompts mention OpenAI for Nonprofits pricing or API discounts?
Only as a procurement caveat. OpenAI's official nonprofit page says discounts are currently for ChatGPT Business and ChatGPT Enterprise, not API usage, so prompt workflows should not assume API discounts.
FAQ
How should nonprofits review AI-generated fundraising copy?
Treat AI output as a draft. Check every factual claim against approved source material, review safeguarding and consent issues, keep unsupported claims out, and assign a human owner for final approval.
